You will join a collaborative team that keeps maintenance processes in order, so every transaction, invoice, record and service request is dealt with correctly and on schedule.
Key Responsibilities
- Run the administrative side of vehicle servicing, repairs, maintenance and tyre replacement
- Key maintenance transactions into internal systems with care, then reconcile them and pursue any items left unresolved
- Review invoices for errors and look into discrepancies or exceptions
- Track workflow queues so each request moves forward within the required service timeframes
- Keep vehicle maintenance records and their supporting paperwork accurate and complete
- Liaise with workshops, suppliers, customers and internal stakeholders, phoning service providers about maintenance requests and information still outstanding
- Handle maintenance-related enquiries, help resolve issues and give Maintenance Controllers the daily administrative support they need
- Manage a steady flow of requests without losing accuracy or attention to detail, contributing to efficient customer service and smooth maintenance operations
Requirements & Eligibility
- Demonstrated experience in administration, data entry or a comparable role, with the ability to provide evidence of that employment and the professional responsibilities you held
- Careful, accurate handling of records and transactions, backed by strong attention to detail
- Confident verbal communication and a professional telephone manner, plus clear and effective dealings with customers, suppliers and internal stakeholders
- Strong organisational skills for juggling competing priorities and meeting deadlines in a busy environment
- Good computer skills and a readiness to learn new systems
- A reliable, positive and collaborative attitude to teamwork
- Previous work as a Service Advisor, Service Administrator or similar is desirable, and automotive industry experience or genuine automotive knowledge is advantageous
- Overseas experience that is relevant will be considered when it can be appropriately verified
- You must satisfy applicable Australian employment and sponsorship requirements
